Network Privilege Policy

New Accounts

  • Students - All currently enrolled students (as defined by the Registrar’s Office) will have network privileges in compliance with the University Information Technology Policy. Incoming freshmen accounts will be valid on the first day of classes. Returning student accounts remain intact.
  • Employees
    • Full-time - Network accounts will be set up as requested by the respective department. All requests are verified by the Academic Affairs Office or the Office of Human Resources.
    • Part-time - Accounts will be set up upon individual or departmental requests and verification by the Academic Affairs Office or the Office of Human Resources.
    • Temps - Requests must originate with respective department and verification from the Office of Human Resources.
    • Continuing Education instructors - Requests must be made by the Office of Continuing Education.
  • Department Specialty Accounts - Accounts may be requested by the department for use by student employees. However, the sole responsibility of monitoring authorized use only for these accounts lies with the respective department. To ensure a secure information environment, each department is responsible for changing passwords upon student employee turnover.
  • Employee Spouses - Accounts will be granted upon request from the employee.
  • Employee Children - Children will not be granted network privileges.
  • Alumni - No accounts are available for alumni.
  • Training Groups - Authorized groups using Susquehanna University labs for training purposes will be given a special account limited to the duration of the event.
  • Guests - Special accounts will be created (e.g., Board members, etc.) on sponsorship by an employee and upon approval from a university senior staff person. Such accounts are valid for a 90 day period, but have the possibility of renewal. If no renewal has been requested prior to the 90th day, said account will be deleted.
  • Student Organizations - Accounts will be set up on sponsorship by an advisor or staff person and on approval from the Student Life Office. Accountability of authorized use lies with the organization.

Termination of Accounts

  • Students - Students graduating in December will have their accounts deleted the first week of January; May grad accounts will be deleted by the end of May. All other student accounts will be terminated upon notification by the Registrar’s Office.
  • Employees - Network accounts will be deleted upon departmental notification or notification from the Office of Human Resources. It is the responsibility of the respective department to move any pertinent data files from the H drive before the employee’s last working day. Prior to leaving, it is the responsibility of the employee, with approval from the respective department, to initiate e-mail forwarding procedures. This courtesy is valid for 15 days. If it is deemed that the account should temporarily remain for departmental use, the password will be changed.
  • Retired Employees - Network accounts can be retained by submitting a request to the Office of Information Technology. To prevent deletion of vital data, please contact the Center prior to retirement notification by the Office of Human Resources.
  • Employee Resigned, But Is SU Student - Network privileges will continue upon request by the employee to the Office of Information Technology one week prior to the last day of employment. However, permissions to departmental common shared directories will be removed.
  • Employee Terminated, But Retained As Consultant - Guest policy applies.
  • Employee Spouses - Spousal accounts will be terminated on employee’s last day of employment.
